EF ERP · PURCHASE
Central purchase workflow for all three units
Company material requisition workflow
Any department in any unit raises an MR. It goes first to the authorized person.
The authorized person approves the MR. RM Stores then checks stock and forwards the remaining procurement need to Purchase.
Purchase collects quotations, obtains quotation approval, prepares the PO, obtains PO approval, then releases it to the vendor.
Recent purchase requests
Rules configured
All 3 units • Any department raises an MR • Authorized-person approval → RM Stores stock check → Purchase quotations → quotation approval → draft PO → PO approval → PO release to vendor • Stores records receipts • Categories: Raw materials, Bought-out components, Tool & die materials, Services / job work, Office / maintenance items.
Create Material Requisition (MR)
Submitting sends the MR to the authorized person. After authorization, it moves to RM Stores for stock verification; Purchase does not receive it directly.

Create purchase order
For this prototype, PO creation is allowed only from a request marked “Approved”. Approval is a separate step. Do not send an unapproved PO to a supplier.

Stores material receipt
Stores should record received quantities. Purchase users can monitor delivery status but should not record stock receipt unless separately authorized. This standalone prototype is a workflow demo; it does not update live RM/FG inventory.

Development stages
Same steps as the Tool & Die Invoices sheet. Use “+ Add vendor / PO” to add one or more vendors to any stage (e.g. raw material from 2 suppliers); each entry has its own PO, invoice, amount and payment. Stage cost and actual tool cost add up automatically. Marking a stage “Done” fills today's date if no actual date is entered.
